Can I control the information my customers see?

Understanding the visibility of information in Freightmaster

Hitrak enables your customers to manage their consignments and access real-time updates on their movements, as well as related documentation, using the Freightmaster Customer portal. However, certain sensitive information will be appropriate for your internal users only. 

This article serves as a reference for Admin Portal and Driver App users on the information that is either unavailable, or can be selectively restricted from customers' view.

Attachments

Certain file types cannot be viewed by customers. This allows Drivers to capture freight photos which, in some cases, will not be suitable for customer viewing. 

  • Attachments uploaded using the Driver App or Admin Portal using the following file types can be viewed in Freightmaster:
  • Attachments uploaded using the Proof of Delivery file type are also shown on Proof of Delivery documents. 

  • Check in Photos, Check out Photos and Event Photos are not visible to Freightmaster users, and do not appear on any external documents.

Delivery Events

Exception and Note Titles are visible to customers, however any Descriptions entered  for those Events, or their resolution, are visible to internal users only.

The example below shows the same Exception in the Admin Portal and Freightmaster:

Endorsements 

Endorsements are triggered by system events, but can also be created manually in the Admin Portal or Driver App.

Admin users can define the visibility of an Endorsement, i.e. whether it can be viewed by Drivers, or only Admin Portal users.  

Endorsements are never visible to customers, so these can be used to add any consignment information intended for internal reference only.

Consignment Tags

Only certain tags are visible to customers, based on the settings you choose for each Tag. Tags with the Visible to customers setting turned on are surfaced in:

  • Freightmaster pages
  • Consignment notes
  • Freight labels
  • Pickup manifests
  • Freightmaster extracts

In this example, the SMS Attention Required Tag is visible to customers, while the Book-in Tag is not.

Admin Portal Freightmaster


By default, Tags are set as not visible to customers. Users with the Advanced Admin role can customise Tag settings in the Admin Portal. See our article on System Setup for guidance on managing Tags.

Pricing information and Reporting

Visibility of consignment pricing information in Freightmaster is managed alongside other permissions via User Roles assigned to Freightmaster users.

Users require the Dispatch Finance role to see:

  • The Estimated Price  or Confirmed Price field on individual consignments.


  • The Costs chart on the Dashboard page.

Note πŸ”ŽUsers with the Dispatch Quoting role can see a quoted price when generating a consignment quote, even if they don't have the Dispatch Finance role.


Hitrak also offers the ability to suppress the DIFOT and Average Staged to Delivered charts from the Freightmaster Dashboard. This is a system-wide setting, so would apply to all customers and all their users. This setting requires support from the Hitrak team. Get in touch if you would like to discuss.
