Managing Consignments and Quotes in the Customer Portal

The Hitrak Freightmaster app enables freight service providers’ customers to manage freight requests, generate quotes, download printable freight labels and notes, and view reporting data for their consignments.

This article provides an introduction to Freightmaster’s key functions, to get new users underway with the basics of the Hitrak customer portal.

Consignments

A consignment defines all the information required to book a freight request. Freightmaster users can view existing consignment information on individual pages, and in Freightmaster search results.


Creating a Consignment

Users with permission to create consignments can access the New Consignment button from any page in the application.

To create a consignment:

  • Click New Consignment.
  • Select a Service Type and Invoice Account.

  • Add the Sender details: Select a Site or use the Address lookup function, and enter the contact details. Click Next to save and proceed to the next section.

  • Repeat for the Receiver, and click Next.
  • Add Freight: Enter a Description, Quantity, Type, Volume and Weight for each line of freight.
  • Click Add and repeat until all the freight has been entered.

  • Additional: Select a Requested Delivery Date. Optionally, add Notes or additional reference details.

  • Save the job with the appropriate status:
    • Save: Save as a Draft. Use this status if you need to edit the consignment later.
    • Mark as Ready: Job details are finalised, but the freight is not ready for pickup.
    • Request Pickup: The freight is ready for pickup. This will notify your freight service provider and the consignment details can no longer be edited. 

💡When consignments have a status of Ready or later, use the Download button to access a PDF consignment Note, Freight label, and (after delivery) POD.

Quotes

Users with quote access can request an estimated price for a job before creating it. The quote entry flow replicates the first few steps of consignment creation, and allows the quote to be converted to a consignment.

To get a Quote:

  • Click Quote.
  • Enter Sender and Receiver details.
  • Enter Freight details.
  • Select the Service Type and enter the Requested Delivery Date.
  • Click Get Quote to view the estimated price, including FAF and any selected Extras.
  • To convert the quote to a consignment, click Create Consignment.This opens the consignment edit page, where the remaining details can be added and the consignment can be saved.

Search and Bulk Actions

The Consignments tab allows filtering of consignments and supports several bulk actions.

Search

  • Use the search filters to refine the consignment list by References, Status, Dates and more.

  • Select from the Sort By options to organise the results:

To view full details of an individual consignment, simply click anywhere on the row.

Bulk Actions

The available bulk actions depend on the consignments selected. Some action buttons may be disabled if the consignments selected have different statuses.

  • Select consignments to be update.

  • Click to Mark as Ready/Request Pickup.

  • Click More Actions for bulk document downloads, more status update options, or to email a Pickup Manifest to your freight service provider.
