Managing Users
Creating and Editing Users with the Admin Portal
Each person accessing a Hitrak app requires a unique user login. These are created in the Organisation page Users tab.

Managing Internal Users
Users requiring Admin Portal or Driver App access must be created within your main Hitrak Organisation.
If a user needs both Admin and Driver access, a user account must be created for each application, but the same login credentials will work for them in both.
In Administration -> Organisations, select your own company from the list.
Admin Portal Users
In the Users tab:
- Click Create User.
- Select For Admin Portal.
- Enter the user's Email address. This will be their login username.
- Click the 🔑 icon to generate a login password.
- Enter the Name and Phone number.
- All Admin Portal users will have the standard Admin role applied by default. Add any advanced permissions using the checkboxes.
- Click Create to save the new user. This will generate a welcome email to the user, which includes a link to the Portal and their login details.
Driver App Users
In the Users tab:
- Click Create User.
- Select For Driver App.
- Enter the user's Email address. This will be their login username.
- Click the 🔑 icon to generate a login password.
- Enter the Name and Phone number.
- Select all applicable Licence Classes from the list.
- All Driver App users have the Driver role applied by default. With this role, users can view and manage Runs which are assigned to them as a Driver or Offsider.
- The Storeman role provides the user access to all Runs. Select this additional role for Warehouse team members or other users who require this overview, using the checkbox.
- Add Emergency Contact details (optional).
- Select a Default Site and Default Vehicle for the Driver (optional).
- Click Save to confirm the new Driver's details. They will receive a welcome email with a link to the App, along with their login details.
ℹ️ If the user has already been configured with an Admin Portal role, their Driver app access will be automatically linked to the same credentials.
Managing Freightmaster (Customer Portal) Users
User access for your customers in Freightmaster is configured within the customer Organisation.
Freightmaster users can be linked to more than one Organisation. This means if customers need access to locations or business units configured as different Organisations in Hitrak, they can use the same credentials for accessing all of them, and switch between them while logged into the app.

Managing Multi-Organisation Access
Creating a new User
To add a brand new Freightmaster user:
- Search the customer Organisation, and select it from the list.
- Click Create User.
- Select For Freightmaster.
- Enter the user's Email address. This will be their login username.
- Click the 🔑 icon to generate a login password.
- Enter the Name and Phone number.
- All Freightmaster users will automatically have access to the read-only Dispatch Viewer role. The Dispatcher role, which allows consignment creation, is selected by default when creating a new user. Add or remove roles as needed, using the checkboxes.
- Select the Sites the user needs access to. Site access determines which sites the user can create consignments for (sites they can choose as the Requesting Site), and which consignment data will be visible to them when logged in to Freightmaster.
🚧 Depending on their user role(s), Freightmaster users will be able to view all consignment data and create consignments or quotes for any site linked to their login. Work with your customer to ensure their Freightmaster users only have access to the appropriate sites and security roles.
- Select the user's default Origin (Sender) Site and Requesting Site.
- Click Create to save the new user. They will receive a welcome email with a link to Freightmaster, along with their login details.
Multi-Organisation Access
When a Freightmaster user has access to multiple Organisations, it is possible to view, delete, or update their security roles from any of those Organisations.
The user's linked Organisations are listed in the Organisation Access section at the bottom of the user dialog.
💡Freightmaster roles apply across all Organisations the user has access to. Updating role access for a user in one of their linked Organisations updates their access globally.
Linking/unlinking Organisations, and assigning Site Access, must be managed within each specific Organisation. This process is detailed in the following sections.
Linking an Organisation
Freightmaster users can be linked to an additional Organisation, by following a similar workflow to creating a new user.
To link another Organisation:
- Select the customer Organisation.
- Click Create User->For Freightmaster.
- Enter the user's email address. Ensure this is the exact same email address used for their other Organisation(s).
- Click another field in the dialog.
- The user details fields will be disabled, with a message above the Details section to advise the user has been found in another Organisation, and will now be linked to this Organisation.
- ℹ️Role access cannot be edited while linking a user to another Organisation.
- As per the new user process, select the Organisation Sites the user needs to access.
- Click Create Link to save.
- The user will receive an email to advise their Freightmaster access has been updated.
Unlinking an Organisation
If a user no longer requires access to an Organisation, or it was linked in error, it can be unlinked.
To unlink an Organisation:
- Navigate to the Organisation Users tab, and select the user.
- Click Unlink Organisation, then Unlink to confirm.
- When the user logs into Freightmaster, they will no longer have access to the Organisation. Their access to other linked Organisations will be unaffected.
Deleting Users
If a user is no longer with a business, they can be deleted. Deleting removes access to all Hitrak apps and Organisations the user is linked to.
To delete a user:
- Navigate to the relevant Organisation's Users tab, and select the user.
- Click Delete or Delete User.
- In the next dialog, click Delete again to confirm the action. An appropriate warning is provided based on the user's situation. E.g.
- Admin portal users who are also Drivers must be deleted from the Admin Portal user dialog. Deleting the user will remove their access to both apps:
- Users with only Driver App access can be deleted from the Driver App user dialog:
- For Freightmaster users with multi-Organisation access, details of their linked Organisations are provided in the warning, before deletion is confirmed.
- Admin portal users who are also Drivers must be deleted from the Admin Portal user dialog. Deleting the user will remove their access to both apps:
